Sharing the schedule with the crew

How the queued-changes batch + Share schedule flow work together, make every site / report-time / assignment change you want, then fan one consolidated email out per official.

Events4 min read

Bluebridge holds your assignment, site-placement, and report-time changes in a queue instead of emailing every official the moment you tap something. Once the schedule is where you want it, you fire the queued changes in two passes: "Publish N changes" sends out the assignments / removals, and "Share schedule" emails each affected official their personal day-by-day list.

What gets queued

  • Assigning an official to a date (Assigned status), emails on Publish.
  • Removing an assignment / granting a release, emails the official on Publish.
  • Marking or unmarking the head referee, emails on Publish.
  • Placing an accepted official on a site or moving them between sites, surfaces in the next Share schedule.
  • Typing or editing a per-official report time, surfaces in the next Share schedule.
A no-op edit doesn't queue a change
Blurring out of the report-time input or re-selecting the same site doesn't add anything to the queue, only values that actually move count. If "Share schedule" claims nothing pending, no one's email is overdue.
Rows with no site AND no report time stay out of the queue
A "dirty" row needs at least a site OR a report time on it to be worth emailing. If the official is accepted on a day but you haven't placed them on a site or typed a time yet, that day won't pull them into the next Share schedule, pick a site or set a time first.

"Publish N changes", bottom of Upcoming events

When at least one queued state change exists (assignment, removal, head-referee toggle), a "Publish N changes to M officials" button appears at the bottom of the Upcoming events card. Clicking it fans out the per-official emails, assigned officials get an assignment email, released officials get a "you've been released" email, head referee gets a designation email. The badge clears once everything's sent. (Distinct from an official-side Release, which is when an official asks to be removed from an assignment.)

"Share schedule with the crew", site + report-time updates

Distinct from Publish: "Share schedule" emails every accepted official whose site or report time has moved since the last share. The preview modal lists each affected official + their FULL personal day-by-day schedule (not just the deltas) with the dirty days tagged NEW. Officials whose rows haven't changed are excluded from the fan-out, so re-clicking with no new edits sends nothing.

The email is a complete schedule, not a diff
Even when only one day is dirty, the email shows the official every accepted day on the tournament with the current site + report time. That way they always have one canonical list in their inbox; the NEW tag in the preview is for your visibility, not theirs.

Typical assignor flow

  1. 1Open the tournament detail page. Use "+ Assign" on each date to assign officials; place accepted ones on sites; type their report times.
  2. 2When you're done shaping the day(s), scroll to the bottom of the Upcoming events card. Tap "Publish N changes to M officials" to fire the assignment / release emails.
  3. 3Then tap "Share schedule with the crew" (header of the Sites card on tournaments) to email the affected officials their personal day-by-day breakdown.
  4. 4You can run either CTA as often as you like, each one only emails people who have unsent changes.
