Assigning officials

Move applicants through Applied → Assigned → Accepted, and designate the referee on each date or match.

On the event detail page each date or match has an applicants list grouped by state. Your job is to move applicants from Applied to Assigned, and (optionally) designate a referee once an official accepts.

The status flow

  • Applied, the official has expressed interest. Click Assign to assign them the date.
  • Assigned, you've assigned the date. The official can now accept or decline.
  • Accepted, they confirmed. Their name bolds in the list and they appear on /my-assignments.
  • Release requested, they asked to be unassigned with a reason; you can approve or deny.

Assigning without waiting for an application (+ Assign)

Each date row has a "+ Assign" link. It opens a dialog with every official and assignor on the platform, searchable by name, sortable by USTA section, with each row showing the official's city. Pick one or more and click "Assign N officials" to push them into Assigned status without them having to apply first.

  • Officials with an existing application on this date appear greyed out with their current status ("Already accepted" / "Already offered" / "Already applied").
  • Officials who have explicitly blocked this date on their calendar show a red "Blocked this date" badge. You can still select them, but a confirmation prompt fires before the assignment goes out so the override is intentional.
  • Officials with a committing assignment on the same calendar date for a different event show an advisory amber chip; you can still proceed after a soft confirmation step.

Releasing an accepted official

On an accepted row, click Release to remove them from the date. They are notified and the slot goes back into the applied pool.

Unassigning the referee role isn't the same as releasing
On the current referee row, the Unassign action (purple) clears the referee flag only, the official stays Accepted on the match. To take them off the match entirely, use Release instead. Once you unassign, every other accepted official's 'Make Referee' link is available again, including the one you just unassigned, so you can re-promote them with a single click if it was a misclick.

Designating a referee

Once an official is Accepted on a date, the "Make Referee" action shows up next to their name on every event type, college matches and tournaments alike. Only one referee per date/match. The designated official gets an email the moment you flip the flag, and a second email if you later unset them.

Match reports stay college-only
The "Complete match report" CTA only lights up for the referee on college dual matches, tournaments don't have a per-match report flow. The referee badge on a tournament is purely an organizational marker (e.g. the lead chair, the crew chief) without a downstream report obligation.

Editing matches inline

Click the pencil next to a match to update start time, opponent, neutral-site teams, or officials count without leaving the page. Add a new match via the Add match button in the upcoming matches header.

Copy all crew emails in one click

Each date's applicants list has a small grey "Copy emails" link next to the Accepted header. It copies a comma-separated list of every accepted official's email, drop it straight into Gmail, Outlook, or Yahoo to message the whole crew at once. Pending and assigned officials are excluded; only confirmed accepts are included.
