Requesting and forwarding W-9s to a payor
Ask an official for permission once, and Bluebridge auto-emails their filled W-9 PDF to the payor you named at request time.
Tournaments often need a W-9 on file before a payor will cut a check. The W-9 share-request flow lets you collect one from any official on the platform, with the official explicitly approving the forward — no PDFs flying around in your inbox.
Where to request from
There are two surfaces. On the event page (tournaments only), every accepted official has a small "W-9" pill on their row — click it to request a share. On the All Officials directory (top nav), every official on the platform has the same pill, so you can request before someone is on one of your events.
What you provide at request time
- A reason or event name. Shown to the official so they know what the request is for.
- A payor email — required. As soon as the official approves, Bluebridge auto-forwards their filled W-9 PDF to this address. You can change it later by firing the Forward button manually for a second send.
What happens after you submit
- The official receives an email notification ("Assignor X wants to forward your W-9 to <payor email>") with a link to Profile → Tax & Finance → Tax info.
- They approve, decline, or ignore. Nothing is shared until they approve.
- On approval, Bluebridge instantly emails their filled W-9 PDF to the payor address you named. The PDF is generated server-side from their encrypted submission — you never see the TIN.
- You receive a confirmation email ("Bluebridge sent X's W-9 to <payor email>") once the send lands.
Re-sends and re-requests
After a grant is active, the affordance shows "W-9 shared" + a Forward button. Use Forward to send the same W-9 to a different payor email later (e.g. an additional payroll cycle). The official can revoke share access from their profile at any time; if they do, you'll need to request a fresh share to send again.
